In this position you will be responsible mainly for following agenda:
- Review and prioritize President's communication (phone, e-mail). Pro-actively escalate issues that need immediate attention.
- Manage and maintain President's calendar. Make business travel arrangements. Plan and coordinate events and meetings on and offside, including preparation of meeting materials.
- Provide proactive executive level support to minimise President's time spent on administrative issues.
- Ensure proper and timely follow-up on various action plans (track actions and communication status).
- Provide meeting support. Setting up conference calls. Prepare agendas, handle logistics, take action notes where required and distribute meeting minutes and presentations.
- Assist in preparing / updating documents and presentations for the company. Board meetings which take place on a quarterly basis, or Business Approval Board meetings.
- Seek ways to ensure effective information management including review of material, prioritisation, filing and retrieval.
- Develop and maintain positive working relationships with staff and internal departments to effectively coordinate activities and collaborate on special projects.
- Maintain/update regularly administrative supports such as organisation charts, distribution lists, key meetings, data bases, etc.
- Process expenses reports, whereabouts reports, invoices and suppliers. Assist on approvals procedures, including for resource requests.
Do you meet following client´s key requirement for the role?
- Several years of previous work experience in a similar position in an international context.
- Experience with supporting remote manager.
- Project administration and co-ordination experience an advantage
-Strong oral and written communication skills in English (other languages a plus)
- Very customer-centric
- Ability to work independently and remotely from manager
- Pro-active and able to anticipate issues
- Sound organisational skills
- Strong accuracy and attention to detail
- Assertive and able to easily interact with people at all levels
- Computer literate : MS office, Lotus Notes, Powerpoint
