Position Summary
Provides administrative support and assistance to the Milan Office Partners and Associates.
Job Description
Makes photocopies and scans and send faxes. Prepares documents in Word, PowerPoint, Excel etc.
Performs administrative functions including, but not limited to, the preparation of written correspondence and documents using in-house and external style documents.
Types, drafts and edits text from rough drafts; proofreads and edits all work. Draft simple correspondence.
Completes all assigned document production tasks with the highest standards and by the agreed deadlines using appropriate software and all available resources.
Manages the calendar, schedules appointments, meetings and conference calls and arranges for complex and detailed travel plans and itineraries.
Keeps client contact details and lists up-to-date.
Opens, reviews and sorts, according to priority, all incoming correspondence. Checks all email for the Milan Office Partners and delegates to appropriate lawyer/legal staff as needed.
Reviews and prepares all bills and expense reports for travel and entertainment. Submits vouchers for payment. May also prepare and track personal expense information.
Assists with the preparation and distribution of monthly reports to all partners and Firm management.
Establishes and maintains effective and accurate filing systems (both for hard copy and electronic documents). Ensures all email and other filing is up to date and filed appropriately.
Prints, prepares and collates papers ahead of meetings.
Provides support to the other lawyers of Milan office as requested.
Records time for lawyers in their absence.
Attends trainings as required to keep up-to-date with firm-wide procedures.
Reception duties can be required from time to time.
Requirements
High level of proficiency with Microsoft Office, particularly: Word, PowerPoint, Excel, and Outlook
Typing speed around 60 wpm.
Fluent in English
Solid secretarial experience in a professional services/corporate environment.
